Project Coordinator
  • Position Overview:
  • We are seeking a highly organized and dedicated Project Coordinator to oversee our diverse project portfolio within the technical documentation industry. The ideal candidate will excel in managing complex project schedules, coordinating team activities, and ensuring the seamless execution of project deliverables. This role requires a strong foundation in project management principles and the ability to adapt to changing project needs swiftly.
    The role concerns managing multiple small-scale graphic design projects in parallel. Our Project Coordinators need to dynamically manage the incoming and outgoing tasks of dozens of stakeholders daily.

  • Duties & Responsibilities
  • Project Management:
  • Oversee the planning and execution of project tasks, ensuring optimal allocation of resources and adherence to project timelines and milestones.
  • Act as the primary liaison between internal customers in both Manila and Hong Kong to identify and define project requirements, scope, and objectives.
  • Ensure clients' needs are met as projects evolve, reporting on project progress, and handle any emerging issues.
  • Agile management of project capacity changes to accommodate evolving client demands or team availability shifts, ensuring project continuity.

  • Project Management Systems:
  • Track projects and deliverables using Project Management Systems such as Smartsheets.
  • Assign tasks to both internal and external teams, and manage schedules via our project management sheets
  • Generate reports, pivot tables, and other sheets to document progress and overview of ongoing operations.
  • Control the profitability of projects via allocating costs to projects and issuing Purchase Orders to external vendors or service providers.
  • Break projects into achievable milestones, set timeframes, and update project management systems daily, including those from clients.

  • Team Collaboration & Leadership:
  • Assist team leader with ad-hoc tasks.
  • Communicate company workflows/guidelines to team members.
  • Address team/project feedback, finding efficient solutions to project issues.
  • Conduct analyses of project outcomes, leading continuous improvement efforts through CAPA (Corrective Action and Preventive Action) reporting.

  • Requirements:
  • 3+ years of experience in project management, with a documented history of successful project coordination and leadership.
  • PMP (Project Management Professional) or other relevant certification, evidencing comprehensive knowledge of project management practices and principles.
  • Bachelor’s degree in business administration, management, or a relevant discipline.
  • Proficient in the use of leading project management software and tools, with familiarity with market-leading PMS tools such as Smartsheet, Asana, Trello, and Microsoft Project.
  • Exceptional communication and interpersonal abilities, with proficiency in English.
  • General business acumen, with an understanding of business operations, financial principles, and strategic planning, to effectively contribute to project decision-making and leadership.


    While knowledge of graphic design software (Adobe Illustrator, InDesign) is a plus, it is not a core requirement for this role. The focus is on your project management capabilities and your ability to lead projects to successful completions, ensuring high standards of quality and operational efficiency.
